  • The successful candidate will have 4+ years of experience working with conflicts identification and analytical research in a law firm setting. Strong attention to detail and great organizational skills are also required to be successful in this position.

The responsibilities will be varied, and will include the following:

  • Timely processing of conflict of interest searches, accurate conflicts searches and analyzing conflict results
  • Provide guidance and training to attorney and legal administrative assistants regarding conflict resolution and new business intake
  • Maintaining quality assurance of data to facilitate accurate conflict search results
  • Perform document and database management, data entry, and special projects, as requested
  • Continued development of skills, process improvements, and knowledge of the applicable rule regarding conflicts of interest

Experience Requirements:

  • 4+ years of experience in risk, research, conflicts searching, or related experience
  • Ability to learn and utilize specialized internal conflict checking software and multiple software applications and workflow processes
  • Tracking, follow-up, and resolution skills
  • Ability to handle multiple functions in a fast-paced, detail-oriented work environment, and adapt to changes in workflow, processes, and procedures

  • We are seeking a Conflicts/Intake Specialist to process preliminary conflict intake requests for new clients, new matters, lateral attorneys and marketing/RFPs. This position is responsible for reviewing full new client and new matter intakes, assigning client/matter numbers and performing conflict of interest searches.

 

Responsibilities:

  • Manage the flow of documents, information, and data within the department and ensure the integrity, maintenance and improvement of the conflicts information database and related information.
  • Accurately process all new client and new matter intakes received via Intapp Open and verify that the information provided is correct and complete according to established procedures, including, but not limited to, ensuring the proper attorneys are assigned credit, the practice group and area of law are accurate, determining when an engagement letter is required and attaching engagement letter to the request, ensuring pricing and fees are reflected correctly on the requests, determining when an updated or new conflicts check is needed, resolving any issues and problems related to the above, and referring more complex issues to higher-level staff. Position is empowered to return intakes to attorneys and legal assistants and not open until all information is accurate.
  • Verify that all new clients and new matters at finalization stage have been reviewed as needed by Practice Group Approvers and Conflicts Counsel (as applicable) before assigning a new client or matter number.
  • Correctly process all Records requests to reopen client and matter numbers, client name changes, matter name changes, and practice group/area of law changes.
  • Process all Canceled/Declined Intake requests according to established procedures after determining the reason for the cancelation/rejection of the representation. Make any necessary corrections.
  • Answer inquiries related to preliminary conflicts check, new client, and new matter intakes and procedures from attorneys, paralegals/legal assistants and other staff via phone and email.
  • Other duties as assigned.

Qualifications:

  • High School diploma or equivalent required.
  • Minimum of two years of experience in a conflicts/intake department at a law firm required.
  • Experience with IntApp Conflicts and Intake database preferred.
  • Working knowledge of Excel with the ability to filter and sort data, manipulate information into different rows and columns and familiarity with basic formulas.
  • Must be extremely detail oriented.
  • Analytical and problem-solving skills required.
  • Strong time-management, organizational, interpersonal relations, written and oral communication skills required.
  • Internet search knowledge preferred.
  • Familiarity with multiple fields of law preferred.
  • Ability to learn new systems and processes by doing rather than by studying a manual.
  • Ability to work with diverse populations and resolve issues.
  • Excellent sensitivity, confidentiality and judgment when it comes to difficult issues.
  • Strong customer service attitude.
  • Work well under pressure, good problem solver.
  • Ability to work independently.
  • Ability to prioritize multiple duties/issues at once.

  • Demonstrated ability to explain complex conflicts analyses to affected attorneys and address their requirements while maintaining a focus on the risk tolerance of the organization.
  • Demonstrated ability to manage the ethics screen process, including identification of individuals to be screened from clients and matters, drafting ethical wall memoranda, implementation of ethical walls, maintenance of and modifications to ethical walls, and periodic review to determine the need for ongoing or updated restrictions.
  • Demonstrated ability to manage the waiver process, including drafting joint representation waivers and adverse transactional waivers, logging waivers, and documenting and filing executed waivers.
  • Demonstrated ability to communicate complicated and detailed analyses to attorneys or management in writing or orally.
  • Demonstrated excellence in written and oral communication, including presenting before a group of people and training groups of various sizes on risk management systems or procedures.
  • Demonstrated ability to communicate effectively with a diverse group of attorneys and staff and to provide good customer service at all levels of the organization.
  • Demonstrated ability to identify and analyze and review potential conflicts regarding new hires and lateral attorney candidates, including knowledge of specialized conflicts rules; to implement all necessary screening and obtain waivers; and to evaluate applicable rules regarding post-employment obligations of former government attorneys.
  • Demonstrated ability to draft and revise engagement letters and to review outside counsel guidelines and similar documents for alignment with Firm policies, collaborating with the affected attorneys to negotiate these with clients.
  • Demonstrated ability to identify and apply the rules of professional conduct, including those governing concurrent client conflicts, former client conflicts, imputed conflicts, unauthorized practice of law, confidentiality, advertising, and withdrawing from representation.
  • Demonstrated ability to conduct legal research, presenting findings in written form, and complete special projects and support new initiatives as requested by the Director of Conflicts/Ethics Counsel, Director of Risk Management, or Senior Director of Risk Management/Associate General Counsel.
  • Demonstrated proficiency with Intapp or other conflicts software and Elite or other accounting software. Familiarity with Dun & Bradstreet Family Tree Portal or other corporate-family research tools. Ability to obtain necessary data from financial applications. Demonstrated proficiency with Microsoft Outlook, Word and Excel and demonstrated familiarity with PowerPoint.

Required Skills:

  • JD required.
  • A minimum of 1 year of experience as a practicing attorney in a conflicts department required (specific experience clearing lateral conflicts preferred).
  • Excellent oral and written communication skills.
  • Strong analytic, interpersonal and organizational skills required.
  • Methodological approach to work with a strong focus on accuracy, attention to detail, consistency and good decision-making skills required.
  • Experience with analyzing conflicts of interest and the law of conflicts of interest.
  • Strong technological skills, knowledge of conflicts clearance and ethical screening software preferred.
  • Aptitude for learning new systems, including ability to participate in discussions about design of existing or new system based on departmental and firm needs.

Salary

Essential Functions of Job:

  • Collaborate with attorneys in the Office of General Counsel to research, analyze, and resolve conflicts of interest.

Qualifications and Experience
Required Qualifications:

  • 2+ years’ experience within conflicts administration at a mid to large size law firm
  • Experience with iManage, LegalKey, Intapp, or similar Conflicts administration software
  • Basic typing skills (at least 40 wpm)
  • Proficiency with Outlook, Word and Excel
  • Ability to compile, review, filter, synthesize, and interpret information which is varied in content and format
  • Ability to work independently, exercise good judgment, and make decisions when appropriate
  • Demonstrated ability to interpret and apply the applicable rules of professional conduct regarding conflicts of interest
  • Strong research skills using internal and external resources.
  • Proven aptitude to quickly learn new applications
  • Strong organizational skills, including the ability to produce a high quality and accurate work product with minimal supervision
  • Ability to work effectively with attorneys and staff at all levels
  • Excellent interpersonal and communication skills

Preferred Qualifications: Experience with clearing/resolving conflicts (i.e. reviewing engagement letters and contacting partners)

  • This position supports Conflicts and Firm Counsel in promptly responding to all new business requests submitted firm wide, including requests related to existing and potential new clients as well as requests related to new hires and requests for proposal. ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  1. Conflicts Analysis. Analyze conflict reports for new business and potential new hires, as well as RFPs, and communicate effectively and confidentially with internal clients to maintain a responsive and thorough conflicts onboarding process for new talent and new business.
  2. New Business Intake: Work with other Department members by responding in a timely manner to requests. Incorporate information from emails, comments, and phone conversations to ensure that all known information about new business is fully incorporated in the analysis process.
  3. Database Management: Correct inconsistent party information on requests as submitted. Assist with identification of additional parties based on information from various sources. Identify and perform large-scale projects to reconcile party information in the conflicts database. Discover new ways to manage data and submit enhancement requests to vendors as necessary.
  4. Systems Maintenance: Field questions from staff and attorney users regarding intake/conflicts software. Work closely with Department members to provide comprehensive conflict/intake training with all new hires and on an ongoing basis to Firm employees. Maintain detailed instructional training documents catered to different audiences. Coordinate with inter-departmental design team to identify areas for improvement with vendors and follow up with testing to verify changes within the system.
  5. Miscellaneous: Recommend process/service improvements, solutions, policy changes and/or major variations from established policy to better meet the needs of both internal and external clients. Ensure that services are delivered effectively and efficiently; ensure compliance with Firm policies and procedures; assist in the development of office or department procedures and processes; attend regular staff meetings and training; work effectively with other departments and work groups, including timely follow-up and frequent communications. Exercise independent judgment and discretion. Assist with a wide range of research projects as necessary.
  • Other duties as assigned

ESSENTIAL CAPABILITIES:

Qualifications:

  • Juris Doctor required.
  • Substantive experience addressing conflicts and ethics in a law firm environment.
  • Demonstrated ability to clear conflicts of interest, providing thorough analysis and proposed resolutions, including drafting specific waivers and ethics screen memoranda, as well as identifying unwaivable conflicts.
  • Demonstrated ability to explain complex conflicts analyses to affected attorneys and address their requirements while maintaining a focus on the risk tolerance of the organization.
  • Demonstrated ability to manage the ethics screen process, including identification of individuals to be screened from clients and matters, drafting ethical wall memoranda, implementation of ethical walls, maintenance of and modifications to ethical walls, and periodic review to determine the need for ongoing or updated restrictions.
  • Demonstrated ability to manage the waiver process, including drafting joint representation waivers and adverse transactional waivers, logging waivers, and documenting and filing executed waivers.

  • Demonstrated ability to draft and revise engagement letters and to review outside counsel guidelines and similar documents for alignment with Firm policies, collaborating with the affected attorneys to negotiate these with clients.
  • Demonstrated ability to identify and apply the rules of professional conduct, including those governing concurrent client conflicts, former client conflicts, imputed conflicts, unauthorized practice of law, confidentiality, advertising, and withdrawing from representation.
  • Demonstrated ability to conduct legal research, presenting findings in written form, and complete special projects and support new initiatives as requested by the Director of Conflicts/Ethics Counsel, Director of Risk Management, or Senior Director of Risk Management/Associate General Counsel.
  • Demonstrated proficiency with Intapp or other conflicts software and Elite or other accounting software. Familiarity with Dun & Bradstreet Family Tree Portal or other corporate-family research tools. Ability to obtain necessary data from financial applications. Demonstrated proficiency with Microsoft Outlook, Word and Excel and demonstrated familiarity with PowerPoint.
  • Demonstrated ability to organize and prioritize tasks, including appropriately balancing the needs of various external stakeholders.

Duties and Responsibilities:

  • Work with attorneys, staff, clients and auditors to prepare auditor response letters in connection with reporting information relating to matters in which the firm represents clients.
  • Draft, circulate, revise and finalize annual audit response letters and periodic update letters to auditors utilizing the Firm’s Audit Letter Database.
  • Ensure auditor response letters comply with Firm written policies and procedures, as well as American Bar Association and Financial Accounting Standards Boards standards.
  • Perform research within Firm databases and analyze client-matter reports to support the preparation of disclosures to auditors.
    Coordinate the response preparation process, maintain accurate records and tracking systems, and proactively follow up to ensure compliance with deadlines.
  • Escalate and resolve potential audit response letter issues identified by Firm attorneys, clients or auditors as needed.
  • Maintain up-to-date knowledge of Firm policies and audit letter response standards to effectively assist and collaborate with attorneys, staff, clients and auditors.
  • Maintain flexibility to work extended hours as needed to meet deadlines, particularly during peak periods.
  • Perform additional duties and responsibilities as assigned.

Skills and Qualifications:

  • BA/BS Required.
  • Two years’ experience processing audit letters, working in a legal or compliance environment, and/or managing staff preferred.
  • Proven ability and interest in learning new technology in a fast-paced environment.
  • Demonstrated project management skills and ability to meet deadlines while maintaining a high degree of organization.
    Strong attention to detail.
  • Ability to plan and prepare for both short and long-term projects with shifting priorities and time sensitivities.
  • Ability to work optimally, both independently and collaboratively, as part of a team and show dedication to the team, clients, and the Firm.
  • Ability to communicate effectively and clearly (both orally and in writing) with all levels of Firm personnel and ensure communications are timely and appropriate; to listen and accurately interpret others’ expectations, ideas, and concerns; to raise questions professionally and purposefully; and to seek and be open to regular feedback.
  • Ability to approach each task/assignment/project in a solution-oriented manner.

Salary

  • $140,000 – $150,000. Paul, Weiss offers competitive compensation and benefits packages.

  • Monitor changes to the ethical standards governing the legal profession, including by maintaining up-to-date knowledge of the Rules of Professional Conduct of both the District of Columbia and the American Bar Association, and evaluate firm policy for compliance;
  • Work with Risk Management Counsel and/or General Counsel on requests related to privacy laws; and
  • Work on special projects as requested by the Professional Responsibility and Risk Management Counsel and General Counsel.

Requirements include:

  • Juris Doctorate (J.D.) is required. License to practice law in the United States is required;
  • Minimum five (5) years of experience practicing law or experience in a similar conflicts, professional liability or compliance role in a large law firm setting strongly preferred.
